1-1 Correspondence (Office of Civil Rights Administration)  
Description: Files consist of outgoing and incoming correspondence of hard copies, including fax transmissions, memos and reports of the Office of Civil Rights Administrator and other persons acting in the role of administration (including programs managers and programs administrators).
Volume:

one (1) cubic foot per year

Disposition:

Retain in office and review on an annual basis.  Destroy duplicate and ancillary materials when no longer required for administrative purposes. Destroy substantive materials when they become five (5) years old, provided no legal actions are pending and  approval to destroy records has been received from the State Records Administrator.  If legal action is pending, destroy two (2) years after exhaustion of all legal remedies, provided records meet all stipulated retention requirements and approval to destroy records has been received from the State Records Administrator.
