Data Bases and Files for the Department of Human Services

| Description: |
Host computer system on-line data bases and files stored on the Department of Human Services' Direct Access Storage Devices (hard disks) are the working records of information data which fall into the following categories: program systems data bases (including Temporary Assistance to Needy Families (TANF) [formely known as Aid to Families with Dependent Children], food stamps, child support, personal data on clients, inventory records, services to the aging, medical services, records of institutions, personnel records, and payroll records); operating systems and program products support files; program developing and testing; and information center and user reporting.

| Disposition: |
Retain in Data Services Division until three (3) years after they become obsolete and are determined to no longer be needed, then erase and reuse or destroy provided: (a) all audits have been completed and all applicable audits reports have been accepted and resolves by all applicable federal and state agencies, (b) no legal actions are pending, and (c) approval to erase records has been received from the State Records Administrator. If legal action is pending, erase and reuse two (2) years after exhaustion of all legal remedies, provided records meet all stipulated retention requirements and permission to erase and reuse disks has been received from the State Records Administrator.
