General Records
1-1A Correspondence (Data Service Division Administration)  
Description: Files consist of hard copies, including fax transmissions, of outgoing and incoming correspondence, memos and reports of the Data Services Division administrator (the Chief Information Officer and Chief Technology Officer) and other persons acting in the role of administration (including DP Directors).
Volume: seven (7) cubic feet per year
Disposition: Retain in office and review on an annual basis. Destroy duplicate and ancillary materials when no longer required for administrative purposes. Destroy substantive materials when they become five (5) years old provided they are (a) no longer required for administrative purposes, (b) no legal actions are pending, and (c) approval to destroy records has been received from the State Records Administrator. If legal action is pending, destroy two (2) years after exhaustion of all legal remedies provided records meet all stipulated retention requirements, and approval to destroy records has been received from the State Records Administrator.
