General Records
1-1A Correspondence (DDSD Administration) 
Description: Files consist of hard copies, including fax transmissions of outgoing and incoming correspondence, memos and reports of the Developmental Disabilities Services Division (the DDSD Director) and other persons acting in the role of administration (including programs managers and programs administrators).
Disposition:

Retain in office and review on an annual basis. Destroy duplicate and ancillary records when no longer required for administrative purposes. Destroy substantive materials when they become five (5) years old provided they are no longer required for administrative purposes and no legal actions are pending. If legal action is pending, destroy two (2) years after exhaustion of all legal remedies provided records meet all stipulated retention requirements.

OR

Retain in office and review on an annual basis. Destroy duplicate and ancillary materials when no longer required for administrative purposes. Transfer substantive materials to either the OKDHS Records Center or the State Records Center until they become five (5) years old, then destroy provided they are no longer required for administrative purposes and no legal actions are pending. If legal action is pending, destroy two (2) years after exhaustion of all legal remedies provided records meet all stipulated retention requirements.
