Issued 9-1-01
The Department of Human Services encourages each employee to vote in all elections in which he or she is qualified to vote.
- (1) Not later than the working day prior to election day, an employee needing time off to vote requests voting time from his or her supervisor. Requests are verbal or written.
- (2) Only a registered voter receives time off to vote. The supervisor may request to see the employee's voter registration.
- (3) On election days, the Department grants two consecutive hours of voting time to an employee who requests time to vote and whose assigned work location is two hours or less of normal driving time from his or her registered voting place.
- (4) On election days, the Department grants sufficient additional time as needed beyond two hours in which to vote to an employee who requests time to vote and whose assigned work location is more than two hours normal driving time from his or her registered voting place.
- (5) The supervisor selects the time period during which the employee is absent from the workplace to vote and notifies the employee accordingly. Notifications are verbal or written.
- (6) Time granted off to vote is during the time the voting place is open.
- (7) Approval of time off to vote is dependent upon the employee providing proof of voting. The proof is provided to the employee's supervisor not later than the employee's first working day after voting.
- (8) An employee whose work day begins three hours or more after the opening of the voting place or whose work day ends three hours or more before the closing of the voting place is not granted time off to vote.
- (9) The supervisor may adjust office work schedules on election day.
- (10) An immediate supervisor may change an employee's duty hours on election day so the employee's work day begins three hours or more after the opening of the voting place or ends three hours or more before the closing of the voting place. Employees whose duty hours on election day are changed in this manner are not given time off to vote.
