MOSAIC Contract Management Team

Purpose

Contract management team will supervise, prepare, coordinate, implement, track, and monitor all MOSAIC hardware and professional services acquisitions, in accordance with Oklahoma and federal laws, rules, and regulations; prepare and file the appropriate planning documents; and monitor the earned value of the MOSAIC project.

 

Team Members

Contract management team will be made up of staff from across OKDHS.  The following members are assigned full-time or part-time to MOSAIC, depending on need.

Contract Management Team Responsibilities

 

  • Prepare, obtain approval, and follow the progress of competitive bids from inception through the evaluation process until award of contract.
  • Define contract procedures in the procurement plan, and coordinate with OKDHS Contracts and Purchasing Unit and DCS Central Purchasing Division to ensure procedures are followed.
  • Draft clear and concise statements of contractor deliverables.
  • Select and instruct evaluation teams.
  • Broadcast notifications to project staff to ensure confidentiality of sensitive information is maintained.
  • Maintain and update the contract tracking system to inform project staff of procurement activities.
  • Ensure that internal technical contract monitors are trained and perform competently to ensure that contractor work is completed as specified and on time.
  • Internally monitor existing contracts for fiscal accountability, to stay within budget.
  • With the assistance of full- and part-time financial staff, prepare and file planning documents as required by federal partners. 
  • Monitor and report the earned value of the project. 
  • Provide regular reports to Oklahoma and federal authorities regarding status of procurement activities.
