MOSAIC Business Readiness Team

Purpose 

Business readiness team will develop the business requirements and functional design documents for each of the modules within the MOSAIC project scope; and develop enterprise projects that will support the MOSAIC project.

 

Team Members 

Business readiness team will be made up of staff from across Oklahoma Department of Human Services (OKDHS), depending on the initiative or module. The following members are staff from Enterprise Program Management Office (EPMO) who will lead each of the module requirements and functional design efforts:

John Nyberg – Business Process Engineer
Nancy Hutchinson – Business Process Engineer
Manjusha Shah – Business Process Engineer
David Spencer – CFSD Business Analyst
Christi Fore – FSSD Business Analyst
Joy Buller – OCSS Business Analyst

 

Methodologies Utilized

 

Enterprise Architecture Methodology – Provides the structure and instructions for development of As-Is and To-Be architecture reports.

Business Analysis Methodology – Provides the instructions for development of the Functional Requirements Document and the Functional Design Document.

 

Tools Utilized for Gaining OKDHS Input

Team meetings and design sessions – Team members will be added to the business readiness team as defined by the business decision-making task force (BDMTF) for enterprise projects and from the MOSAIC decision team for MOSAIC modules.

 

Current Team Meetings

  • LMS – Meets weekly and monthly to gather As-Is business architecture of the current learning management system products for OKDHS.
  • Help Desk – Meets bi-weekly to gather As-Is business architecture for the current CFSD, FSSD, OCSS, and DSD help desks.
  • Quality Control – Meets bi-weekly to gather As-Is business architecture for the current quality control of systems for all OKDHS divisions.
  • Security Access – Meets bi-weekly to gather As-Is business architecture for the processes staff utilize to request security to all OKDHS systems.
  • Web site input – Web page will be developed to obtain input from staff, clients, and providers for the design of the enterprise system.
  • Workshops – Workshops will be held with end users to obtain input about requirements and functional designs throughout the state.


Business Architecture Harvest

Business readiness team will gather all As-Is OKDHS business architecture information and load it into a central repository. 

 

Business Process Analysis

When the business processes are harvested, a detailed analysis will be conducted to identify OKDHS federated, common, and business processes. The To-Be business architecture will be created, based on this analysis, to identify projects that will aid OKDHS in streamlining, reducing costs, and increasing efficiencies .

 

Federated – Processes that are or can be shared across OKDHS. Examples: HR processes, contracts and purchasing, office supply ordering, mail pickup and delivery.

 

Common – Processes that are or can be shared by more than one division.  Examples: client intake, information security, IT testing, Help Desk services.

 

Business – Processes that are unique to one division. Examples: foster care placement, child care licensing, adoptions.
